PA/Admin/Office Manager

Executive Search Firm

Temp to Perm

2 to 3 Days Per Week

Responsibilities include:

  • Assisting the Partner with business and personal matters
  • Travel arrangements;diary management;co-ordinate meetings
  • Minute taking as required and generate reports
  • Screen/return calls;filing; emails; documentation/correspondence
  • Organise functions – events, luncheons, etc.
  • Ad hoc projects
  • Personal matters
  • Prepare and format documentation (CVs, candidate reports, proposals, supplier agreements and reference checks)
  • Prepare candidate long lists and short lists
  • Co-ordinate and place advertisements (online and offline).  Liaise with the media company
  • Co-ordinate client/candidate/consultant interviews
  • File client/candidate/company/assignment information, etc.
  • Assist with co-ordinating training & development requirements
  • Update various databases
  • Assist with database, website, IT management and ongoing training for Group
  • Assist with the recruitment of new administration staff (advertising, interviewing, etc.)
  • Meet and greet candidates and clients
  • Book boardroom and ensure it is kept clean and tidy
  • Responsible for kitchen supplies (milk, biscuits, glassware, crockery, etc.)
  • Order stationery and office supplies
  • Co-manage supplier relationships and costs/service levels
  • Assist with the co-ordination of sales and marketing material (business stationery, brochures, etc.)
  • Manage the administration of any psychological assessments required for assignments
  • Assist with PSA tenders (documentation)
  • Assist with invoicing
  • Assist with purchasing and managing of office equipment
  • Other ad hoc project work as required
 

Skills Required:

  • At least 5 years’ exp working as an assistant within a corporate environment
  • MS Office skills (intermediate to advanced)
  • A typing speed of 60+ wpm
  • Flexibility and initiative
  • A sense of urgency
  • Very good verbal and written communication skills
  • Sound work ethic
  • Outstanding attention to detail
